Practical AI Guidelines
Give your team a clear starting point for responsible AI use.
Use these questions to discuss an AI project before it becomes part of everyday work. Record the decisions in language your team can understand and use.
Name the business purpose
What task will AI help with? What result would make the use worthwhile? Keep the purpose specific enough to test.
Assign a responsible person
Who approves the use, reviews its performance, and decides when it should change or stop? Make that responsibility visible to the team.
Decide what information is appropriate
Identify the information the tool needs, the permissions that apply, and the information employees should leave out. Review the provider's current terms and settings before using confidential material.
Set the review requirements
Decide what a person must check and when approval is needed. Avoid relying on an unchecked output for a decision with significant consequences.
Test quality and fairness
Try realistic examples and exceptions. Look for wrong answers, misleading content, inconsistent results, and effects that could disadvantage particular people.
Explain the customer experience
Decide when people should be told that AI is involved and how they can reach a human. Give them a practical way to report an error or ask for a correction.
Plan for mistakes
Know how to pause the process, preserve useful records, and route a concern to the responsible person. A manageable failure process is part of a useful test.
Review the use as it changes
Revisit the approach when a tool, its settings, the information used, or the business process changes. A decision made for one task may not fit another.
Keep the document usable
Summarize the agreed purpose, approved tools, permitted information, review steps, and contact person in one place. Walk through it with the team and update it as you learn.
