Use these short planning tools to evaluate an idea, organize your questions, and decide what to explore next. Start with the section that matches the decision in front of you.
Define a first project
Complete these five sentences with your team:
The task we want to improve is...
Today, that task takes... and creates these problems...
A useful improvement would look like...
The person responsible for reviewing the result will be...
We will decide whether to continue by checking...
If you cannot complete a sentence clearly, make the task smaller or gather more information before buying a tool.
Prepare vendor questions
Before committing to a provider, ask:
What exact task will this help us perform, and what remains our responsibility?
What information will you receive, retain, or use to improve your systems?
Who can access our information, and how can we remove or retrieve it?
How will we test accuracy and handle results that need correction?
What will setup, training, usage, support, and cancellation cost?
What happens if the service is unavailable or we decide to leave?
Ask for answers that apply to the specific product and arrangement you are considering. Keep a copy so your team can evaluate the proposal consistently.
Review a test
Compare the same task before and during the test. Record:
Time spent doing the work, reviewing output, and correcting errors.
Quality against a defined standard.
Tool costs and staff time needed to keep the process working.
Feedback from employees and customers affected.
The decision: continue, change the approach, or stop.
Time recovered is a useful result when the business can put it to productive use. Include what your team will do with that capacity in the final decision.
